Users find it difficult to manage detailed itineraries and event-specific tasks within a single sytem, leading to frustration and decreased engagement. This gap in functionality hinders their overall scheduling experience and satisfaction.
Create an itinerary feature with event-specific to-do lists, seamlessly integrated into the Fantastical Calendar design system. This feature should blend smoothly with the existing scheduling functionality.
Increase user engagement and satisfaction by introducing an itinerary feature with event-specific to-do lists. This will enhance the scheduling experience, boost daily active users, and drive higher subscription rates.
At the start, I was unsure which features users needed daily. To identify their true pain points in scheduling and productivity, I created questions on General Use, Features, Usability, Integration, and Personalization. Here are key questions that guided my solution.
I identified gaps in competitors' itinerary and task management features. This analysis revealed opportunities for Fantastical Calendar to enhance user experience with a more seamless, integrated itinerary feature, guiding the design for a superior scheduling solution.
After affinity mapping my research, I found that users prefer simple, customizable products and want a weekly overview, including tasks, at a glance. They feel overwhelmed by multiple scheduling tools and find event planning exciting but anxiety-inducing.
I created 2 personas based on my interviews and research. First we have the young working professional, and next we have the casual scheduler. These two personas are the main users that the new feature will be designer for.
These questions focused on enhancing event details without overwhelming users, integrating with other platforms, incorporating to-dos for better productivity, and improving scheduling routines without multiple apps, while maintaining usability.

During user testing of the wireframes for the new itinerary feature in Fantastical Calendar, users found the feature intuitive and easy to navigate. Some users suggested improving the visual clarity of task entries. Overall, the initial concept was well-received, significantly enhancing users' scheduling and planning experience.
This new itinerary feature helps users manage detailed itineraries and event-specific tasks without feeling overwhelmed. By integrating tasks directly on the itinerary page and having them populate on the event creation screen, users can organize their schedules more seamlessly, reducing the need for multiple tools.
In order to integrate the new feature into the entirety of the Fantastical Calendar app, I designed the new feature for the various different screens and modes in Fantastical - making sure to pay attention to the smallest of details.
After conducting usability tests, I found that condensing task and subtask actions to the itinerary page reduced user confusion and clicks. Users can still access detailed task editing by clicking an arrow to the task details window.
Users expressed the importance of being able to see an overview of their schedule in a quick glance. Keeping this important point in mind, I designed the daily and weekly calendar views to reflect on this user need while keeping with the existing UI.
My goal of implementing this new feature was to create something that is the non-invasive to the existing UI, but also pleasant once discovered. The "Add New Task" and "Add Itinerary" button were created and placed with this in mind.
To reduce confusion and minimize clicks, the events are centralized on the itinerary page. The main tasks and subtasks were designed in the same system for this same reason as well. Users can edit task details via an arrow to access the task details window.
Working through the entire UX/UI process helped me understand my design approach and key components. I learned that adding a feature means creating something that integrates seamlessly with the existing UI, rather than overwhelming users with flashy designs. Initially, I considered a different popup screen for the desktop version but, based on user research, opted for a design that better suited current users and design systems.
